- Greet visitors warmly and direct them to the appropriate staff or department
- Answer and route incoming phone calls, take accurate messages, and assist callers with inquiries
- Manage and maintain appointment schedules, including scheduling, rescheduling, and cancellations
- Assist with clerical duties including filing, document organization, and data entry
- Sort and distribute incoming mail and coordinate outgoing mail and packages
- Monitor office supply inventory and assist with ordering when supplies are low
- Provide professional and courteous assistance to clients, visitors, and employees
- Answer questions and provide information about company services
- Address or escalate client concerns appropriately to ensure timely resolution
- Assist with daily operations including managing the medical supply store and Call Dashboard
- Schedule and prepare meeting rooms and ensure shared office spaces remain organized
- Support coordination of meetings, internal events, or office activities as needed
- Operate and maintain office equipment such as printers, copiers, and scanners
- Provide basic troubleshooting assistance and coordinate with IT support when necessary
- Maintain accurate and organized office files and records (both electronic and physical)
- Enter and update information in company systems and databases
- Assist with special projects and administrative tasks assigned by management
- Follow company procedures and maintain professionalism in all interactions
- Excellent communication and interpersonal skills
- Strong organizational and multitasking abilities
- Professional, welcoming, and dependable demeanor
- Basic proficiency in office software and office equipment
